Annual Client Experience — your questions
- Are flights included, and who books them?
- Yes. Return flights for every guest are included and booked by us from your chosen UK base city — London, Manchester, Birmingham or wherever suits your group. We hold the reservations, manage names, seating, baggage and any changes, and issue every guest their travel documents. If some guests need to travel from elsewhere, we simply build that in.
- What standard of accommodation should we expect?
- Four and five-star hotels or private villas, always centrally located or beside the event venue, with three nights included. Rooms are held in one block so your group stays together, and we handle upgrades, accessible rooms, early check-in and any dietary or comfort requirements before you arrive.
- Are all transfers and transport covered?
- Every journey is covered — home or office to the airport, airport to hotel, transport to each activity and the gala venue, and the full return home. Vehicles are private and scaled to your group, with a member of our team accompanying the party throughout.
- What is in the welcome hampers?
- Each hamper is created for your group and destination — local produce, refreshments, thoughtful comforts and a personalised welcome note, with your branding if you would like it. Dietary requirements, alcohol-free options and gifts for accompanying partners are all catered for.
- What happens after the experience ends?
- Aftercare is part of the package. We handle luggage, late departures and any travel disruption on the day, then follow up with thank-you communications, guest feedback, event photography and film, a full reconciliation against your quote, and a planning conversation for next year's experience.
- How is it paid for?
- A 25% booking deposit secures your dates, 50% of the remaining balance falls due eight weeks before departure and the final balance four weeks before. Monthly instalments are available when you book more than six months ahead, and new clients receive 25% off the planning and coordination fee for their first event with us. The quote is the quote.
